Adding a Media Tool

Tool Name – Use short descriptive names, see naming convention samples below:

· Story
[sty_descriptive word or short phrase that helps distinguish the story from others on a similar topic]
Example: sty_FontanaPressureUlcers

· PowerPoint presentation
[ppt_title of presentation, last name of presenter(s)]
Example:  ppt_UBTs: A Platform for Performance Improvement_ppt, August, Grimm

· Bulletin Board
[bb_title of poster, Season yyyy]
Example:  bb_Co-Pay Collection is Highest in the Region, Fall 2009

· Video
[vid_title of video]
Example:  vid_Unit-Based Teams: Transforming Kaiser to Transform Health Care Compilation DVD

Communicator – Select your name.

Date Due – Enter date due as given by editor or project manager.

Notes – Enter an instruction or information a colleague or reviewer needs to know.


Classification

Media Type – Select the type of media that you are entering into the tracker.

Date of publication/first primary use – Enter the date that the media type will first be used, i.e., presentation made at a conference May 7, 2010.  

Description –  Enter a succinct description; this field supplies the information that shows up during a web search.

Subject – Select the subject(s) that the media pertains to; choose only the most relevant.

Region – Select the region or, if it is not region specific, choose “national.”

Audience – Select your audience; use the “other” category if one does not apply.

Note:  For the subject and region categories, it is important to make a selection as this filters information on the website (currently, and in the future as well).


Story Content

Headline – Enter a headline of 8 to 10 words.

Deck – Enter no more than 14 words.

Story body – Input entire story (can cut and paste). Do not use this field until the story has been edited and approved.

Draft Word document – Hit browse, find the file, and upload the draft of your story.  Allowed extensions are txt, doc, docx, rtf.

Photo or artwork – Upload any photo or artwork; use your browse button to find the file, select it and then hit upload.

Caption information for photo or artwork – Enter a description or caption for the art

Additional Artwork – Hit browse and upload any additional photos or artwork. 


Content for all other media tools

Attach file - If the media tool is a file that can be attached, upload it here. Please note:  If there is more than one file, place the files in a zip folder, then attach the folder.  If you're new to zipping files, view a video tutorial here.

(Use your browse button to grab the file then hit upload.)  If the tool can be found at a web address, enter that URL (please supply a name for the weblink). 


Promotion

Where to promote – Select where this media should be promoted. Work with the editor or project manager if you are not sure of where the media will be promoted. Please note: Early in the life of the tool, this is a wish list; as the tool is actually promoted, you will need to revisit this and update the list. The selections here will be used to generate a report showing the reach of our work, so it needs to be complete.

Promo copy (short) - Enter a headline of 8-10 words, and a blurb of 15-20 words.

Promo copy (long) – Enter a headline of 8-10 words, a deck of14 words or less and a blurb of 60-75 words.

Note: This section will supply copy for website pages and for Flash and “Transformers.”  Anything that will be posted on the website or placed in “Transformers” must have promo copy written for it.

Tools like checklists, PowerPoint presentations and bulletin board posters that are associated with a “master” media tool should be entered separately as individual media tools. Once they are entered, please select them from the list below to associate them with the “master” tool.
